# Connecting Calendly

## Connect Calendly

**What it is** — Connect your Calendly account so booked calls track back to the right lead automatically. Once connected, a booking moves the lead to Booked call, marks the conversation Call Booked, and puts the meeting on the lead's timeline — no manual matching required.

**Who can use it** — Creator and Manager roles only. Settings > Integrations — the only place to connect or disconnect Calendly — is gated to Creators and Managers on both web and iOS; Setters can't reach that page on either platform. Once connected, though, every Setter and Closer benefits: any team member can still generate and send a single-use Calendly link from a chat regardless of their role.

**Before you start** — Your Calendly account needs to be on the Standard plan or higher (or you need to be an owner/admin of a Calendly organization on that tier). Calendly's free tier can't create the webhook subscription Mochi needs, so the connection will fail with an error telling you to upgrade.

### How to connect (web)

1. Go to Settings > Integrations.
2. Find the Calendly card and click **Connect**. This starts an OAuth flow — sign in to Calendly and authorize Mochi.
3. If your Calendly account is below the Standard plan, the connection fails outright with an upgrade prompt rather than connecting with no tracking.
4. Once connected, choose which of your Calendly event types Setters are allowed to send — this keeps a Setter from accidentally offering a lead the wrong kind of call. There's no restriction on which specific Calendly event types you can use with Mochi itself; any event type works, this step only controls who's allowed to send which one.

### How to connect (iOS)

1. Open Settings, then tap Integrations (Creators and Managers only — this row doesn't appear for other roles).
2. Tap **Connect Calendly** and complete sign-in.

### Sending a link to a lead

Once Calendly is connected, any team member can send a tracked link from a conversation: open the calendar icon in the Inbox composer, select the event type, and send. Mochi converts it into a single-use tracked link automatically — this works the same way for Setters as it does for Creators and Managers, even though only Creators and Managers can manage the connection itself.

### How tracking works

Calendly bookings match to a lead one of two ways:

* **Sent from inside Mochi** — a single-use scheduling link from the Inbox composer (or generated on iOS) carries a hidden tracking ID. The webhook matches that exact lead directly, and any email or phone number picked up from the booking form is saved onto the lead.
* **Sent as a raw link** — a plain Calendly URL pasted into a DM, or a lead who finds your Calendly page some other way (like your bio link). For these, Mochi's webhook looks for a booking-form question whose text contains "instagram" and reads the answer as the lead's Instagram handle. If no such question exists, or it's left blank, Mochi can't match the booking — the call still happens in Calendly, but Mochi never sees it. If no matching lead exists yet, Mochi creates a new one from the Instagram handle instead of dropping the booking.

If your Calendly account is an owner or admin of a Calendly organization, your connection covers bookings on any teammate's event type. If not, your connection only covers your own hosted events — a teammate's bookings won't track unless they connect Mochi too.

### Auto-status logic

* A Setter sends a tracked Calendly link → the lead auto-updates to **Qualified**.
* The lead books through that tracked link → the lead auto-updates to **Booked call**.

Some teams intentionally layer manual updates on top of this instead of relying on it exclusively — for example, manually marking a lead Qualified after a screening step, and only trusting the auto-trigger for the booking itself. Both approaches work; pick whichever matches how your team actually qualifies leads.

### Disconnecting

Open the Calendly card in Settings > Integrations and choose **Disconnect**. This deletes the connection and unsubscribes the webhook. It does not delete meetings Mochi already tracked — it only stops new bookings and updates from syncing.

### Tips

* Always send Calendly links from inside Mochi (the composer or a saved Content Hub link) instead of copy-pasting — only links sent through Mochi carry the tracking ID.
* If bookings suddenly stop updating lead status, check Settings > Integrations first — a Calendly connection can silently lapse, and booked-call tracking quietly stops until you reconnect.
* If you're not the owner/admin of your Calendly organization, make sure every teammate whose bookings you want tracked has connected their own Calendly.

### Common mistakes & fixes

| Mistake | Fix |
| ------------------------------------------------------------- | ---------------------------------------------------------------------------------------------------------------------------------------------- |
| Booking doesn't update the lead's stage | Check whether the link was sent from inside Mochi. Copy-pasted raw links don't carry the tracking ID. |
| Booked-call numbers stall across the board, not just one lead | Check Settings > Integrations — a Calendly connection can silently disconnect, and booked-call auto-tagging quietly stops until you reconnect. |
| External bookings (bio link, etc.) never match | Add a question to your Calendly booking form whose text contains "instagram." |
| Setters see the wrong event types | Reopen the Calendly card in Settings > Integrations and reselect the correct events. |
| Connection fails immediately | Your Calendly account is below the Standard plan — upgrade and try again. |
| A teammate's bookings never track | They need their own Calendly connected too, unless you're the owner/admin of a shared Calendly organization. |

### Limits & good to know

* Multiple leads sharing the same Instagram handle match to the oldest lead by creation date.
* Setters can't connect their own Calendly account yet, even though Mochi's backend supports per-member connections — Settings > Integrations itself is Creator/Manager-only on both platforms today, so that option isn't reachable yet.
* Disconnecting doesn't erase history — only new syncing stops.
* Prefer in-app booking with no raw-link matching step at all? See Connect iClosed (web-only).
